- Coordinate daily deposits for all O&E Departments, including credit card payments, and check and cash payments. Create and ensure timeliness and accuracy of deposits. Perform related monthly deferred revenue reconciliations, ensuring daily deposits match corresponding entries in the general ledger.
- Generate and submit all expense requisitions for all O&E departments. Track status of the payment requests and follow up with Administrative Accounting on any outstanding payments.
- Perform monthly P-card allocations for assigned O&E cards and ensure timely submission, accurate coding and attachment of all necessary receipts.
- Perform monthly reconciliation of all O&E Restricted Funds so as to reflect new donations processed by Advancement, payments processed by Accounts Payable and miscellaneous posted transactions.
- Assist in the generation of invoices for all O&E Ministries and other related initiatives including the School of Spiritual Direction, Regional Conference Partners, FUS interdepartmental initiatives, and events affiliated with entities outside of Franciscan University.
- Perform all applicable clerical tasks related to budget including running prior fiscal year reports from Jenzabar and populating details in the O&E budget templates. Ensure the accuracy of the budget reporting, including verifying calculations and cross-referencing totals. Enter final budget numbers in the University provided template. Also assist in monthly budget variance analysis as needed.
- Facilitate ordering supplies, shipments, and deliveries. Coordinate room scheduling. Create work order requests.

- Bachelor’s Degree in business management, or equivalent experience.
- Ability to work and manage multi-faceted office operations.
- Minimum of two years’ experience in data entry, computer record keeping and bookkeeping. Completed coursework in accounting is helpful.
- Must possess excellent organizational and analytical skills as well as attention to detail.
- Familiarity with conference/event planning and management is helpful.
- Must be a team player that works well with others.
- Ability to work in a fast-paced environment and meet deadlines in a timely fashion.

- Evening and weekend work as needed.
