Administrative Assistant – Bilingual
The Diocese of Austin strives earnestly to exercise life, charity, and justice through varied ministries to support the people of God throughout central Texas. The Administrative Assistant for the Office of Life, Charity, and Justice assist the Director and staff with supporting the activities and services of the Pro-Life Activities, Social Concerns, Missions, Criminal Justice, Hispanic Ministry, and Black Ministry. The position reports to the Director of Life, Charity, and Justice.
Essential Job Duties:
As an integral part of your ministry for the Church as carried out in this position, support and uphold the philosophy of Catholic ministry and the mission of the DOA in both your professional and personal life.
Act as a witness to Gospel values by modeling the teachings of the Catholic Church.
Continuously grow in your ministry by participating in religious ceremonies, training sessions, and reflection activities as directed.
Administer daily activities in support of the Secretariat Director of Life, Charity, and Justice, including processing check and deposit requests, answering telephones and general inquiries, record keeping, filing, compiling data and generating reports, drafting correspondence, and other administrative tasks as directed.
Assist with planning, promotion, and implementation of standard activities.
Assemble and distribute information and materials, such as agendas, reports, packets, and slides as assigned; and distribute promotional and educational materials relative to the secretariat’s ministries.
Schedule, arrange, and organize logistics for meetings, luncheons, training, and special events.
Maintain a database of volunteers and donors.
Maintain standard operating procedures manuals.
Maintain a work schedule that maximizes availability to parishes, diocesan staff, and other customers.
Perform other duties as assigned by the Director of Life, Charity, and Justice.
Update and maintain volunteer and student information, including contact information and attendance for classes and meetings.
Knowledge, Skills, and Abilities:
Knowledge of database management.
Ability to operate various word-processing software, spreadsheets, and database programs.
Ability to provide excellent customer service and work effectively with staff, clergy, religious, and laity.
Ability to organize, prioritize and utilize effective time management techniques.
Ability to maintain confidentiality at all times.
Ability to carry out multiple tasks and meet deadlines.
Ability to follow instructions furnished in verbal or written format.
Minimum Qualifications:
Education and Training:
High School Diploma or GED acceptable to Texas Education Agency; Bachelor’s degree from an accredited American university or equivalent in a foreign country
Experience:
Two (2) years of full-time wage-earning experience in administrative support is required.
Language Requirement:
Bilingual (English/Spanish); complete fluency in Spanish with proficiency in conversing, reading, and writing.
Catholic Requirement:
Must be a practicing Roman Catholic in good standing.
Licenses/Certifications:
Valid Texas driver’s license.
Must maintain compliance with the Diocese of Austin Ethics and Integrity in Ministry (EIM) policies throughout the employment period.
