POSITION SUMMARY

The Academic Operations and Data Coordinator will manage academic projects and initiatives, organize events, ensure faculty and students have appropriate resources for successful advising, and oversee departmental communication efforts. The Coordinator will manage software applications, create, and maintain academic workflows, extract, and analyze data from databases, and create reports.

 

PRIMARY RESPONSIBILITIES

  • Manages departmental projects and initiatives which may include conducting research, collaborating with colleagues, organizing information, and presenting proposals. Develops the academic calendar.
  • Facilitates the effective utilization of software tools such as Microsoft Teams & SharePoint, Insight & Advocate (Symplicity), the Port (Pathify), and Jenzabar J1. Develops and maintains logical processes, forms, workflows, links, informational pages, and electronic storage and filing. Uses strong logical orientation and clear communication to teach others how to use applicable software. Makes recommendations for further development of software tools.
  • Gathers, analyzes, and reports data in an accurate, non-biased manner to inform decision-making and enable effective retention, advising, and other academic practices.
  • Plans events by coordinating schedules, securing venues, arranging catering, preparing advertisements, and supporting documents, and completing budgetary processes. Leads and participates on interdepartmental planning committees.
  • Coordinates communication efforts including correspondence, social media, informational messages, phone calls, scheduling, and surveys. Designs attractive visual communication. Handles difficult conversations with professional courtesy and respect.
  • Creates a welcoming and resourceful environment in the advising office for students, faculty, staff, and other guests. Assists in problem resolution, provides referrals, and continually improves academic resources and processes to address current and anticipated needs.

REQUIREMENTS

Must understand, support, and embrace the mission of Franciscan University of Steubenville and possess the following:

 Work Experience

  • 1-3 years experience in higher education preferred, but experience in related fields with transferable skills valued.

Education/Credentials

  • Bachelor’s degree. Field may vary (i.e., psychology, mathematical science, business, philosophy). Liberal arts education valued for well-rounded approach and ability to think critically.

 

Technical Skills

  • Database skills. Understanding of database structure, data collection, and reporting. Understanding of SQL statements, or ability to learn. Ability to use statistical software, such as SPSS or R ideal. Experience with a Student Information System (SIS), sch as Jenzabar J1, preferred.
  • Microsoft Office Suite, including intermediate to high level Excel; knowledge of MS Access preferred.
  • Experience with design and presentation software, such as Canva, Adobe InDesign, MS Publisher, and/or PowerPoint ideal.

 

Workplace Factors:

  • Occasional weekend or evening hours.
