Administrative Legal Assistant

Position Overview:

Lloyd, Lemmon, & Hale, a small but growing law firm located in Front Royal, VA, is seeking a highly organized, professional, and detail-oriented Administrative Legal Assistant to join our team. This role is pivotal in ensuring the smooth operation of our firm by providing comprehensive administrative support to our attorneys and exceptional service to our clients.

Key Responsibilities:

  • Client Interaction: Serve as the first point of contact for clients, offering a warm welcome to our office, answering phone calls promptly, and managing all communication with professionalism and confidentiality.
  • Scheduling and Organization: Coordinate and maintain the attorneys’ schedules, including booking appointments, sending out appointment reminders to clients and attorneys, and ensuring efficient time management practices.
  • Client Intake and Management: Handle client intake and the initial setup of client matters within our legal practice management software, Clio Grow and Clio Manage, ensuring accuracy and efficiency in data entry and management.
  • Expense Management: Collect, organize, and forward all general expense receipts to the firm’s bookkeeper, maintaining a streamlined process for expense tracking and reimbursement.
  • Billing and Payments: Proactively contact clients regarding unpaid bills, facilitate payment processes, and support the financial operations of the firm.
  • Administrative Support: Perform a range of standard legal secretarial and administrative tasks, including but not limited to human resources activities and any other tasks as required to support the attorneys and the firm’s operations.

Qualifications:

  • Experience as a legal secretary, administrative assistant, or similar role, preferably in a law firm environment.
  • Proficiency, or ability to become proficient, using legal practice management software, particularly Clio Grow and Clio Manage, is highly desirable.
  • Exceptional organizational skills, with the ability to manage multiple tasks and priorities efficiently with minimum oversight.
  • Strong communication skills, both verbal and written, with a focus on providing excellent customer service.
  • Detail-oriented with a commitment to accuracy and confidentiality in all aspects of work.
  • Familiarity with the legal processes, court filing deadlines, and general law office management practices is a plus.
  • Ability to work independently as well as part of a team in a fast-paced environment.
