Schedule: Full-time; Monday – Friday, 8:30 a.m. – 4:30 p.m.; some evenings and weekends.
POSITION SUMMARY
Franciscan University is seeking an Assistant Registrar who will assist with the management and performance of primary Registrar’s Office services.
PRIMARY RESPONSIBILITIES
- Perform degree audits and certify degrees for graduating students.
- Coordinate academic check-in, course registration, class lists, midterm deficiencies, and grade lists.
- Commencement planning and all related correspondence, reports, audits, events, caps, gowns, service agreements, supplies, and communication with other offices and vendors.
- Plan, organize and manage a Graduation Fair twice a year.
- Supervise SWOP workers for the Registrar’s Office including interviewing, hiring, training, evaluating, and preparing associated paperwork; participate in related training as required.
- Production of the semester course schedule.
- Vault maintenance as it relates to the storing of academic records as required by the federal and state authorities and semi-annual purge of eligible records.
- All correspondence and communication with the Austria Program as it relates to the production of the schedule, registration, and final grades.
- Assist with the transfer credit evaluation and new student course scheduling and participate in special University events for new students such as Baron Days and Orientation.
- Submit regular enrollment reports to the National Student Clearinghouse.
- Respond to internal and external data and report requests.
- Participate in staff meetings, planning, budgeting, and other projects determined by the Registrar, and serve as departmental authority in the Registrar’s absence.
- Bachelor’s degree required.
- 3-5 years of experience working in a higher education setting, preferably in a Registrar’s office or related field.
- Experience with Outlook, Word, Excel, and other Microsoft Office applications.
- Knowledge of student information systems.
- Strong attention to detail and deadlines.
- Excellent communication and customer service skills.
- Capacity for prioritizing conflicting demands.
- Ability to analyze data and develop reports.
- Strong organizational skills.
- Ability to work independently and collaborate with others, including students, faculty, and staff.
- Familiarity with federal and state regulations related to student records, FERPA, and student data privacy.
