Full Job Description for Position Title: Community Engagement Assistant
Reports to: Trained and managed by the Assistant Director. Also tasked by the Executive Director and Donor Relations Assistant as coordinated with the Assistant Director.
Job Classification: Full Time, Hourly (thirty to forty hour week expectation). If candidate requests, position could begin as part time and transition to full time in May.

Summary: The Community Engagement Assistant supports the Front Royal Pregnancy Center’s mission through the coordination and implementation of the FRPC’s largest fundraiser, the Walk for Life (WFL), engaging with schools and churches on topics related to the fundraiser, education, and faith.
The Community Engagement Assistant (CEA) is expected to ensure the success of the WFL by following templates and specific instructions from other team members, pouring enthusiasm and hard work into connecting with the walkers who raise money, the sponsors who give money, and the churches and schools who support the FRPC’s mission.
WFL specific duties will include visiting churches and schools to speak on the mission and share details on the fundraiser, corresponding with walkers via email and phone calls, coordinating volunteers for fundraiser related events such as mailings to walkers or donors, cohosting socials related to the fundraiser, errands related to the fundraiser, sending receipts to donors and maintaining documentation on donations including data in multiple software programs.
The Community Engagement Assistant will create and coordinate the majority of FRPC marketing materials as instructed by the Assistant Director and approved by both the Assistant Director and Executive Director.
Additional community engagement related duties will include various printing and preparing of marketing materials, preparing newsletter mailings to supporters, visits to churches, schools and businesses with additional mission-related updates, and supervising volunteer school children. Lastly, the Community Engagement Assistant will assist in a wide variety of tasks to help Center operations run smoothly. This may include anything from running errands to cleaning the office.
The Community Engagement Assistant primarily receives tasks from the Assistant Director but also works closely with the Executive Director and Donor Relations Assistant and handles their tasks as needed. All duties will include detailed instructions and supervision.
Duties & Responsibilities (includes but not limited to):
- Visit churches and schools to share print materials and details on the fundraiser.
- Correspond with walkers via email and phone calls.
- Coordinate volunteers for fundraiser-related events such as mailings to walkers or donors.
- Cohost social events related to the primary fundraiser, and also events for volunteers and supporters year round.
- Perform errands related to the fundraiser, or other mission projects.
- Supervise volunteer school children.
- Work with FRPC staff to maintain relationships with supporters through email and phone call correspondence, including composing thank you notes according to donor recognition policy.
- Share FRPC mission and FRPC tours with current supporters and local churches and organizations.
- Assist in responding to supporter and networking emails and correspondence.
- Perform educational outreach through speaking to school groups, visiting community fairs, etc.
- Write and design visuals for marketing materials including FB & IG posts, FRPC Blog, print newsletter, e-newsletter, brochures, flyers, and merchandise.
- Work on a variety of special projects and one-time tasks as assigned.
- Participate in Christian prayer with coworkers and/or local Christian churches.
Qualifications and Characteristics:
- Strong interest in the mission of the FRPC, a crisis pregnancy medical clinic.
- Adherence to the ethical standards, statement of faith and policy of the FRPC.
- Compassion for FRPC clients facing crises, financial difficulties, or other challenges.
- Ability to handle donor and client information according to confidentiality policies.
- Detail-oriented, recording and sharing details thoroughly and accurately.
- Strong written and verbal communication skills.
- Aptitude for learning database software programs.
- Ability to handle last-minute tasks.
- Cheerful, friendly attitude, even during difficult conversations with fundraiser participants.
- Willingness to speak in front of a crowd of school children or church participants.
- Experience or aptitude for graphic design.
- Willingness to receive and complete assignments given by other staff.
- High school diploma or equivalent required. Bachelor’s or Associate’s Degree preferred.
- Must have one’s own means of transportation to the office, on errands and to churches/schools.
- Must be available to work on multiple weekends in August, September and October, including Oct. 5th, 2024.
Benefits:
There is some flexibility in work schedule. Starting full-time employees receive accrued PTO for vacation, sick days or other time off; for starting employees ten (10) full PTO days are accrued over the course of a calendar year. In addition, full-time employees receive eleven (11) organization-designated holidays, fully paid.
The Front Royal Pregnancy Center does not currently offer a health care plan or 401K plan.
All compensation may be subject to deductions for taxes and other withholdings as required by law or organization policies. This job description does not constitute an employment agreement and is subject to change.
Expectations, Work Conditions and Physical Demands:
This position is expected to work the in the FRPC office, in Front Royal, VA. Teleworking may be available on occasion, if approved for the specific day requested.
This position is expected to work a thirty minimum to forty maximum hour week, Mon-Fri. The start and end of the workday may be determined in conversation with the Assistant Director. This position will need to be periodically available to work on weekends or evenings, for church, school or volunteer events, though this will be discussed with their supervisor and planned in advance.
This position will alternate between face-time with churches, schools, supporters, and volunteers and more focused computer work. The successful candidate will frequently participate in phone calls, office meetings, and errands. Some lifting of material donations will be requested but can be handled by another staff member if needed.
