POSITION SUMMARY
Reporting directly to the Vice President for Franciscan Life, the Administrative Assistant supports the VP for Franciscan Life and the President’s Office with communication, correspondence, scheduling, report creation, and research. The Administrative Assistant also provides support for meetings of the Executive Team, the Shared Governance Council, and the University’s Board of Trustees.

PRIMARY RESPONSIBILITIES
• Provide administrative and secretarial support to the VP of Franciscan Life, including calendar management and scheduling meetings, event coordination, occasional correspondence, taking minutes for committee meetings, and handling inquiries from students, employees, parents, and others.
• Support Executive team and Shared Governance Council. Facilitate planning, organization, invitation, and execution of meetings, and provide agendas, minutes, and supporting documents.
• Serve as primary coordinator for Board of Trustees meetings/retreats. Facilitate the effective planning and organization of meetings/retreats by assuming responsibility for the scheduling and logistics, as well as the development and timely availability of agendas, minutes, and other related documents.
• Support Board of Trustees via recruitment, onboarding, and support of individual trustees, as well as administrative support for Board committees.
• Serves as steward of highly confidential information and acts as trustworthy liaison between President’s Office, VP for Franciscan Life, and internal and external stakeholders on key matters.

Educational/Credentials
• Associate’s degree or equivalent experience required; Bachelor’s degree preferred.
Technical Skills
• Proficiency in Microsoft Office Suite

• Occasional evening and weekend work required.
