We’re looking for a diligent Office Administrator, a role pivotal to the efficient functioning and culture of our team. You will not only shoulder administrative duties but also inspire the team through creating a great workplace experience. The key functions of this role involve office maintenance, support on documents, spreadsheets, and assistance to our Creative and Production teams. Our ideal match is an individual who has a knack for prioritizing tasks even with minimal supervision, displaying self-motivation and a high level of trustworthiness. The Office Administrator will facilitate the Coronation work culture, maintain excellent client correspondence and help make our company a great place to work.

RESPONSIBILITIES

  • Client intake through phone and email communication.
  • Answer phone line.
  • Welcome visitors.
  • Fulfill online store orders and send out corporate mailers.
  • Schedule meetings and appointments within the office.
  • Plan team outings and events.
  • Collect mail and run local errands.
  • Clean office common areas, take out trash and recycling, schedule regular office cleaning with vendors.
  • Keep stock of office supplies and place orders when necessary.
  • Restock snacks, water cooler, drinks and set coffee in the mornings.
  • Maintain the office condition and arrange vendor support when needed.
  • Monitor team time tracking.
  • Meet regularly with Producers to maintain project pipeline.
  • Work with Producers and Bookkeeper to maintain expense reports.
  • Work with Producers to compile schedules and manage travel logistics.
  • Maintain clear notes and documentation from internal and external meetings, including client notes for revisions.

QUALIFICATIONS

  • Bachelor’s Degree or comparative work experience, and minimum of 1 year of work experience in an office setting
  • Excellent communication, teamwork and interpersonal skills
  • Hospitality oriented
  • Deadline, cleanliness and detail-oriented
  • Team player
  • Proficiency in ClickUp or similar project management software
  • Proficiency in Google Sheets or similar spreadsheet-based software
  • Creative problem solver with the ability to multitask
  • Familiarity with Apple/Mac computers
  • Understanding of Coronation’s core markets
  • Must work at our studio in Gettysburg, PA and be legal to work in the US
